How to convert a quotation into an invoice

Turn an accepted quote into a draft invoice with frozen totals — no re-typing line items.

Before you start

This feature needs the Quotations module turned on in Settings. It's on by default, but a service business that never quotes work can turn it off to keep its sidebar simple.

A quotation is a non-binding estimate — customer, line items, tax, and an optional "Valid until" date. Once your customer says yes, you don't need to re-type anything into a new invoice.

The quotation lifecycle

A quotation moves through Draft → Sent → Accepted or Declined. Unlike an invoice, a quotation stays fully editable the whole time it's a Draft, and can be deleted freely at any point before it's converted.

Converting it

Once a quotation is Accepted, open it and click Convert to Invoice. This creates a new Draft invoice, with the quotation's line items and totals copied over exactly as quoted — frozen, so if your tax rate in Settings changes later, it never retroactively changes what you already promised the customer.

From there, it's just a normal Draft invoice: review it, adjust anything that needs adjusting, and Finalize it when you're ready to actually issue it — that's the point where it gets its real invoice number and, if you track stock, deducts inventory. What if you change your mind?

A quotation stays linked to the invoice it produced. If that invoice is still a Draft and you delete it, WatCoreLite automatically un-links the quotation, so it's available to convert again — nothing gets permanently stuck. Once the invoice has been Finalized (or voided), though, the link becomes permanent, since at that point it's a real, issued document with its own history.
