Recording and tracking invoice payments

Log payments by method, handle partial and overpayments, and see the balance update automatically.

Payments in WatCoreLite are always logged from the invoice they belong to — there's no separate "new payment" screen to hunt for. Open the invoice that was paid, and it's right there.

Recording a payment

On a Pending (or already partially paid) invoice, click Record payment and fill in:

For UPI, Bank Transfer, or Cheque, a bank account field shows up too (if you use the Bank Register module) — pick which account the money actually landed in, or leave it unpicked if you're not tracking that particular payment in the register. Save it, and the invoice's balance and status recalculate immediately. Once payments cover the full amount, the invoice flips to Paid on its own — you never set that status by hand.

Partial and overpayments

Paying less than the full balance is completely normal — the invoice just stays Pending with a smaller balance due, and you can log another payment later. Paying more than what's owed is allowed too, rather than being blocked — the extra shows up as a credit balance on the invoice instead of an error.

Correcting a mistake

If a payment was logged wrong — wrong amount, wrong invoice, duplicate entry — void it (with a reason) rather than trying to edit it. The invoice's balance and status are always recalculated from scratch off every non-voided payment, so voiding one instantly and correctly puts the invoice back to whatever status actually reflects what's left outstanding — even flipping a Paid invoice back to Pending if that payment was what pushed it over the line.

Cash payments and the Cash Register

If you use the Cash Register module, a Cash-method payment automatically posts a matching entry there — no need to log it twice. Void that payment later, and the reversing entry posts automatically too.

Seeing every payment at once

The Payments page is a read-only ledger of every payment ever recorded across every invoice, useful for a quick end-of-day or end-of-week look at what came in and by which method — without opening each invoice individually.
