Managing customers in WatCoreLite

Adding, searching, and understanding what stops a customer record from being deleted.

Customers is the contact list for anyone you invoice or quote — name, phone, email, address, GSTIN, and notes, with their full invoice history attached automatically. Only Name and Phone are required to create one.

GSTIN (or VAT number, TRN — whatever you call it)

Optional, and only really matters for a B2B sale — add a customer's tax ID and it prints on every invoice you issue them, so they can claim input tax credit. Skip it for an ordinary retail customer. "GSTIN" is just the default label — outside India, rename the field itself under Settings → Tax, and it relabels everywhere it shows up. See Setting up WatCoreLite for your country.

Adding a customer

Customers → New customer → fill in the form → Create customer. You can also add one on the spot from the customer field on an invoice, quotation, enquiry, or recurring billing form — search, and if they're not there yet, + Add new customer takes just a name and phone, no need to leave what you're doing.

Finding a customer

The search box matches name or phone — not email or address, so search by whichever of those two you have on hand.

Walk-in Customer

Every install starts with a built-in, un-deletable Walk-in Customer — pick it for an anonymous cash sale instead of creating a real record for someone you'll likely never bill again. It's pre-selected automatically on a new, from-scratch invoice.

No hard duplicate block

WatCoreLite doesn't block creating two customers with the exact same name and phone — but adding one with a phone number that's already in use shows a heads-up first, so an accidental duplicate is easy to catch before it happens.

Deleting a customer

A customer can't be deleted while they have any invoices, quotations, enquiries, or recurring billing plans on record — that history has to stay for reporting and audit purposes (cancel a plan first if it no longer applies). If a customer genuinely has none of those, deleting them removes the record entirely.
