Quotation status explained: Draft, Sent, Accepted, Declined
What each stage means, and why a quotation stays editable for longer than an invoice.
A quotation moves through up to four states, and — unlike an invoice — mostly stays flexible until a decision is made.
Draft
A working copy. Fully editable, and freely deletable, for as long as it stays here. This is the one real difference from invoices: an invoice locks the moment it's finalized, but a quotation stays a Draft — and stays editable — right up until you mark it Sent.
Sent
Set once you've actually shared it with the customer. It's now waiting on their decision.
Accepted
The customer said yes. This is the only state Convert to Invoice becomes available from — see How to convert a quotation into an invoice for what happens next.
Declined
The customer said no. The quotation stays on record either way — nothing is deleted automatically.
Deleting a quotation
A quotation can be deleted any time before it's converted, regardless of its status. Once it's produced an invoice, it stays linked to that invoice — unless that invoice is later deleted while still a Draft itself, in which case the quotation automatically un-links and becomes available to convert again.
