How to create and send a quotation

Build a non-binding estimate for a customer and track it through to a decision.

Before you start

Quotations are an optional module — on by default, but a business that never quotes work can turn it off in Settings to keep the sidebar simpler.

A quotation is a non-binding price estimate you send a customer before doing the work — no commitment on either side until they say yes.

Building one

From Quotations, click New quotation. Pick a customer, add line items the same way you would on an invoice, and optionally set a "Valid until" date. It saves as a Draft, fully editable — change anything, or delete it outright, for as long as it stays in that state. The PDF it produces looks just like an invoice — amount in words in your own currency, the customer's tax ID if they have one on file, and classification codes if you use those — all in whatever terms your Settings are configured with, GST/GSTIN or VAT/TRN alike.

Sending it

Once it's ready, mark it Sent. From there, record what the customer decided: Accepted or Declined. See Quotation status explained for what each of those stages actually means.

Turning a yes into an invoice

Once a quotation is Accepted, Convert to Invoice turns it into a draft invoice with the exact same line items and totals — no re-typing. Full details in How to convert a quotation into an invoice.
