Setting up your product and services catalog

A shared catalog for everything you sell, with fast code-based lookup on invoices and quotes.

Before you start

This is an optional module, on by default. A business that bills purely by typed description — no repeat catalog — can turn it off in Settings.

Products & Services is a shared catalog for everything you sell. Give an entry a short code, and typing that code into an invoice or quotation line item fills in the description and price for you — no re-typing the same thing every time.

Products vs. Services

Each catalog entry is either a Product — a physical item, eligible for stock tracking — or a Service, billed by description only, with no quantity-on-hand to track.

Codes and barcodes

Both Product Code and Barcode must be unique across the catalog — reusing one throws an error at save, so there's never ambiguity about which item a code refers to.

HSN/SAC codes (or HS codes — your call)

Once tax is turned on in Settings, each entry can also have a classification code — "HSN/SAC" by default, since that's the Indian GST term, but the label itself is editable under Settings → Tax, so it can read "HS Code" or anything else that matches how your country classifies goods. It's optional, and set once here rather than re-typed on every invoice line.

It won't show up until you ask for it

Adding a code to a product doesn't change anything on its own — go to Settings → Tax and turn on "Show [code] codes on invoices" to add the column to your printed invoices. Off by default, so a business that doesn't need it never sees the extra column. More on relabeling this and other tax terms in Setting up WatCoreLite for your country.

Deleting vs. archiving

A product or service can't be deleted while it's used on any invoice or quotation line, for the same reason customers with invoice history can't be deleted — that history has to stay. For something discontinued, see How to archive a discontinued product instead.
