How to share an invoice via WhatsApp, email, PDF, or print
One-click WhatsApp and email sharing, a downloadable PDF, or print straight to A4 or a receipt printer — no re-exporting required.
Once an invoice is no longer a Draft, four ways to get a copy to your customer show up on its detail page: Download PDF, Print, Share via WhatsApp, and Email — all four produce the exact same document: your business details, the line items, totals, the amount spelled out in words in your own currency, the customer's tax ID if they have one on file, classification codes if you've turned those on, and a signature line at the bottom. Quotations share every one of these exact same options.
Saves a properly formatted PDF wherever you choose — your Downloads folder, a project folder, anywhere. Good for filing away, or attaching somewhere the other options don't reach.
Print — full page, or a receipt-printer slip
Print opens a preview first, so you see exactly what will come out before anything reaches the printer. Choose Full Invoice (A4) for the normal printed page, or Receipt (80mm)/Receipt (58mm) if your counter prints on a small slip/thermal printer — the receipt layout keeps every line item, tax, and discount readable at that width, not just a stripped-down summary. See printing invoices: A4 and receipt printers for the full rundown.
In a hurry? Quick print skips the preview and prints immediately with whichever format you used last time — see Keyboard shortcuts and rapid billing for the one-key version of this.
By default, this is one click, not two. Behind the scenes it generates the PDF, saves it, and copies it onto your clipboard automatically — then opens WhatsApp with a message pre-filled. All you do is press Ctrl+V inside the chat to attach the file, and hit Send.
Want it to go out with genuinely zero manual steps — no clipboard, no chat window to open? Set up direct WhatsApp sending once in Settings, using your own Meta WhatsApp Business API account, and the same button sends it straight through instead.
If the clipboard copy doesn't work
By default, Email is a reminder to download the PDF and attach it in your own email app — one extra click, and it means every email genuinely comes from your own address.
Or set up direct email sending once in Settings, using your own Gmail, Outlook, Yahoo, Zoho, or custom-domain email account, and the Email button sends it straight to the customer's inbox with the PDF already attached — still genuinely from your own address, since it's your own account doing the sending.
